During your first login, you'll be prompted with two options: create a new company or join an existing one. Select "I'm starting a new company", enter your company name, and the system will automatically generate a unique Company UUID for you. You can then invite team members by sharing this UUID.
Share your Company UUID (found in Company Settings) with team members. When they sign up, they should uncheck "I'm starting a new company" and enter your Company UUID. This gives them immediate access to your company's data, employees, questions, and exams.
Admins have full access: they can manage employees, create/edit questions, generate exams, and configure all settings. Users have view-only access: they can see employees, company info, and the dashboard, but cannot edit or create content.
New users get a 30-day free trial with full access to all features. No credit card required to start. After the trial expires, you'll need to select a subscription plan (Basic, Pro, or Contractor) to continue using the service.
We offer three plans with 24-month license periods: Basic for a single company with up to 10 employees, Pro with exam creation and question bank for up to 10 employees and 5 exams, and Contractor for managing unlimited companies with 10 employees and 5 exams per company. Add-ons are available for more capacity. For current pricing, please visit our Plans & Pricing page.
Add employees through the Employees page with their certification details including level, methods, and dates. The system automatically calculates expiration dates based on your configured validity periods. The dashboard calendar shows upcoming expirations, and you can enable email notifications in Company Profile settings.
At minimum, include first name, last name, and position. For complete certification tracking, add: certification level, certified methods with dates, eye exam dates, performance evaluation dates, work history, education, and examination scores. More complete profiles generate more comprehensive certification documents.
Click "View Cert" on any employee card. The system generates a professional certification document including all employee details, certifications, examination records, and expiration dates. Click "Print Certificate" to print or save as PDF. Customize what appears on certificates in Certification Settings.
Yes! In Certification Settings > Display Options, you can choose which sections appear on certificates. In Custom Statements, add your own text for education, training, experience, and other sections. This allows you to meet specific client or regulatory requirements.
You have two options: (1) Import questions from CSV using our template format - great for bulk imports (now processes in batches of 50 for faster performance), or (2) Add questions individually through the Questions page - best for gradual database building. Most users start with manual entry and later import additional questions from CSV.
Questions can be classified by Method (PT, MT, UT, RT, ET), Level (1, 2, 3), and Type (General or Specific). General questions cover standard NDT principles, while Specific questions are for client-specific procedures. All questions are multiple choice with up to 5 options (A through E).
Use the Exam Generator for automatic creation: select methods, levels, and types, then specify how many questions you want. The system randomly selects questions matching your criteria. Alternatively, use "Create Exam" to manually select specific questions for your exam.
Yes! Click "View" on any exam, then "Print Exam". The system generates both the exam questions and a separate answer sheet with bubble-style answer marking. Both include your company logo and professional formatting. Save as PDF or print directly.
Go to Certification Settings > Validity Periods. Set the number of months for Method Certification (default 60), Eye Examination (default 12), and Performance Evaluation (default 12). These periods are used to calculate expiration dates on all certification documents.
In Company Settings > Company Profile, enter your logo URL in the "Company Logo URL" field. Your logo will appear on all certification documents, exams, and answer sheets. Use a high-resolution image (300 DPI minimum, 400x400 pixels recommended).
Form numbers are document identifiers used for version control and quality management systems. Set them in Certification Settings > Form Numbers. They appear on printed documents and help with ISO compliance and document tracking. They're optional if not required by your QMS.
In Company Profile settings, check "Send Compliance Notifications". You'll receive email alerts 30, 15, and 7 days before certification expirations, as well as on the expiration date itself. This helps you stay ahead of compliance requirements.
Go to Main Settings and click "Backup Data to Excel". This exports all your employees and questions to an Excel file with separate, organized tables. Regular backups are recommended, especially before major data imports or system changes.
Yes! All data is isolated by Company UUID. Users can only access data from their own company. The system uses secure authentication through Base44 platform, and all data transmission is encrypted. No company can see another company's data.
Documents uploaded to the Conformance tool are stored in private, encrypted cloud storage with no public URL — access follows your app's permissions. A short-lived signed link (10 minutes) is generated solely so the AI can read the document for analysis. The document is deleted on a best-effort basis when analysis completes or when your session ends, and the signed link expires within 10 minutes regardless. No permanent retention of the uploaded document or analysis results occurs, company personnel do not review uploaded documents, and user content is not used for AI model training.
You can import questions via CSV using our template format (processes in batches of 50 for optimal performance). For employee data, manual entry is currently required to ensure data accuracy and completeness. This also gives you an opportunity to verify certification dates and requirements.
Deletions are permanent and cannot be undone. We recommend: (1) Regular backups via Main Settings, (2) Setting items to "inactive" or "archived" status instead of deleting, (3) Carefully reviewing before confirming any deletion.
